5. Purpose and legal grounds for processing the personal data

The Online Feedback Register collects personal data only for the purpose of processing the feedback messages and responding to them. Feedback can also be given anonymously, so providing your name and contact details is not a prerequisite for giving feedback. The Western Uusimaa Wellbeing Services County will not respond to anonymous feedback, but the feedback will be stored in the feedback database. If feedback providers give their name and contact details in the feedback form or log into the online feedback service, the data provided will form a personal data register known as the Online Feedback Register. Personal data given in connection with feedback can only be processed and read by the employees of the Western Uusimaa Wellbeing Services County who have been appointed as feedback respondents or who have been granted read access to the Online Feedback Register.   

  

Personal data will not be disclosed to parties outside the wellbeing services county, unless it is necessary for the handling of the received feedback. Data may only be disclosed exceptionally for the purpose of studies and surveys commissioned by the Western Uusimaa Wellbeing Services County. Researchers are bound by obligation of confidentiality with regard to personal data and contact details, and no personal data will be published in the ensuing reports. The register consists of the feedback provided in the online feedback service and the data of the users who have logged into the service. The online feedback service is available on the wellbeing services county website (www.luvn.fi). Feedback data will be saved in the Online Feedback Register. The data will be used and utilised in the development of the wellbeing services county’s customer service and other operations. The data will also be used to compile analyses and statistics that cannot be used to identify individuals. Every recorded instance of feedback is a public document under the Act on the Openness of Government Activities. 

6. Contents of the register 

The register consists of the following information:   

  • User ID  
  • Name  
  • Email address  
  • Telephone number  
  • Contact requests related to feedback processing  
  • Feedback given  
  • Feedback processing steps and responses  
  • Data related to the use of the website, such as browsing and search data, cookies, IP addresses  

The data varies according to the type of feedback given.   

  

The free text field allows feedback providers to enter content of their choice.

7. Sources of personal data

Only data voluntarily given by the user will be stored in the Online Feedback Register. 

8. Recipients or categories of recipients of the personal data

The purpose of the online feedback service is to receive customer feedback, questions and proposals. Feedback providers are not required to provide their personal data, and feedback can be given anonymously or under an alias.

9. Transfer and disclosure of data outside the EU or EEA

Personal data may be disclosed to authorities and other parties specified in legislation within the limits permitted and required by law. Data may also be disclosed to the data controller’s service providers, who have agreed to produce the services on behalf of the controller. The publicity of information provided to authorities is determined under the Act on the Openness of Government Activities or any special provisions.

As a rule, personal data will be stored for five years.
